Position Overview

The West Tennessee Home Builders Association (WTNHBA) is seeking a highly organized and enthusiastic Events Coordinator to plan, execute, and manage a diverse range of events that advance our mission to promote the home building industry in West Tennessee.

This role is pivotal in driving member engagement, fostering community partnerships, and delivering high-impact events such as the Vesta Home Show, the WTNHBA Golf Classic, the annual Meeting of the Members, and the WTNHBA Presidential Inauguration. Additionally, the Events Coordinator will provide staff support to several committees, including the Vesta Committee and others to be determined, ensuring alignment with organizational goals.

The ideal candidate will be creative, detail-oriented, and adept at simultaneously managing multiple projects in a fast-paced environment while collaborating with staff, volunteers, sponsors, and vendors.

Position: Full Time, In-Person

Key Responsibilities

  • Event Planning and Execution: Lead the comprehensive coordination of signature WTNHBA events, including the Vesta Home Show, WTNHBA Golf Classic, Clay Shoot, Meeting of the Members, and Presidential Inauguration, as well as other networking gatherings, educational seminars, and expos. Develop event themes, timelines, and manage logistics such as venue selection, catering, audiovisual setup, and on-site operations.
  • Committee Support: Serve as staff liaison to the Vesta Committee and other assigned committees, providing administrative support, coordinating meetings, preparing agendas and minutes, and facilitating communication to ensure committee objectives are met.
  • Budget Management: Create and oversee event budgets, negotiate vendor and supplier contracts, and ensure cost-effective delivery while maximizing value for members and sponsors.
  • Marketing and Promotion: Collaborate with the marketing team to develop promotional materials, social media campaigns, email newsletters, and website content to boost attendance and engagement for events like the Vesta Home Show and Golf Classic. Track registration and attendance metrics to assess event success.
  • Stakeholder Relations: Cultivate and maintain relationships with members, exhibitors, sponsors, and community partners. Manage exhibitor booth sales and registrations, particularly for large-scale events like the Vesta Home Show.
  • On-Site Management: Oversee event setup, execution, and teardown, including coordinating temporary staff, volunteers, and resolving issues to ensure seamless experiences at events such as the Clay Shoot and Presidential Inauguration.
  • Administrative Support: Handle event registrations, prepare print materials (e.g., programs, signage), conduct post-event evaluations, and compile reports on attendance, feedback, and ROI for events like the Meeting of the Members. Provide similar administrative support for committee activities as needed.
  • Sponsorship Coordination: Support sponsorship acquisition by identifying opportunities, preparing proposals, and fulfilling sponsor deliverables for events like the Golf Classic and Vesta Home Show.
  • Team Collaboration: Partner with the Executive Director and staff to align events and committee work with WTNHBA’s strategic goals and support broader association initiatives.

Qualifications

  • Education: Bachelor’s degree in Event Management, Hospitality, Marketing, Communications, or a related field preferred.
  • Experience: Minimum of two to three years of experience in event planning or coordination, ideally with a nonprofit, association, or membership-based organization such as home builders associations, realtor groups, or chambers of commerce. Experience providing staff support to committees is a plus.
  • Skills: Exceptional organizational and project management skills with the ability to manage multiple events, committee responsibilities, and deadlines. Proficiency in utilizing event management software (e.g., Eventbrite, Cvent), graphic design tools (e.g. Canva), Microsoft Office Suite, and social media platforms. Strong communication and interpersonal skills for relationship-building, committee facilitation, and contract negotiations.
  • Personal Attributes: Energetic, detail-oriented, and adaptable with a customer-service mindset. Ability to work independently and collaboratively, with flexibility in availability for evening and weekend events and committee meetings as required.
  • Preferred: Familiarity with the home building or construction industry is a plus. Experience with large-scale events like home shows, golf tournaments, or member-driven gatherings, as well as committee support, is highly desirable.

Compensation

This is a full-time and in-person position based in West Tennessee, offering a competitive salary and benefits package commensurate with experience. The salary range for this position is $50,000 to $52,500 and will be adjusted based on experience. Additionally, this role offers a bonus based on event performance.
